Internal access checklist

Internal checklist for getting a new lab member set up with SD/BioVU access. SD/BioVU is accessed through Terra.bio. For general information about SD/BioVU, see the SD/BioVU page on krantzlab.org.

Other notes: Use Chrome Browser Create a Chrome profile tied to your @vumc.org email for work-related browsing and credentials to make logging in to Terra easier.

Each step is labeled with who is responsible.

1. VUMC credentials  (PI)

SD/BioVU access requires a VUMC ID and @vumc.org email. Medical students already have these — skip to step 2. For Vanderbilt undergraduates and other non-VUMC personnel, Matt initiates the contingent worker process in Workday; the new user then completes their portion of the onboarding.

2. CITI training  (user)

Complete CITI training through Vanderbilt: vumc.org/irb/citi

3. Send DUA to PI  (user)

Download the lab’s DUA form, fill it out, and send to Matt.

Download Adobe Acrobat Reader (free) and open the PDF there to fill it out. Browser PDF viewers and macOS Preview can drop field data on save, leaving the form blank when reopened.

To sign: open Fill & Sign in the right pane (or top toolbar), then Sign yourself → Add Signature.

4. IRB modification — add as KSP  (PI)

Submit an IRB modification to add the new user as Key Study Personnel (KSP). CITI training must be on file first.

5. Submit DUA  (PI)

Sign the DUA, email to biovu@vumc.org, and save a copy to the Executed DUA archive.

6. BioVU Project Personnel Survey  (PI)

Complete the BioVU Project Personnel Survey (REDCap).

7. Google Identity and Chrome profile  (user)

Terra requires Google Chrome to log in. Set up the following:

  1. Create a Chrome profile tied to your @vumc.org email — this keeps work browsing and credentials separate from any personal Google accounts.
  2. Create a Google Identity using the same @vumc.org email. This is the account you’ll use to log in to Terra.bio.

8. Terra workspace  (PI)

Matt creates a Terra workspace for the project and adds the new user as a member.
